This list includes all accounts in the automated collection action program (ACAP) at Day 80 through
Day 84. The specific day in ACAP is shown to the right of each account number unless the account
is at Day 84, in which case it is blank to the right of the account number.
This list should be worked each Monday only for the entire week, except when
Monday is a holiday or when the tax run is not done on Monday. In these cases, a list from the last
day of the previous week should be used to review accounts hitting Day 84 on Monday. Tuesdays
list from the current week should then be worked for the remainder of the weeks Day 84 accounts.
To determine if the Status file should be requested, access Stop Information Screen for each account
to see if any active stops are on the account.
- If an active stop (Code 01 through Code 28, excluding Codes 22, 24, 26, and 27) is on the account
and the release date is later than Day 91 for that account, do not request the file. Make a notation
of the Stop Code to the left of the account number and mark the account off the list.
- If an active Code 22, 24, 26, or 27 Stop is on the account, make a notation of the Stop Code
to the left of the account number and request the file.
- If an active Code 85 Bankruptcy Stop is on the account, do not request the file. Make
a notation of the Stop Code to the left of the account number and mark the account off the list.
- If an active Code 81 through 84 and 86 through 89 Stop is on the account, make a notation of
the Stop Code to the left of the account number and request the file.
- Request the file for any account that has any active stop that will expire on or before the day
the account will reach Day 91.
- Request the file for any account that does not have an active stop.
- If an account has any type of stop and the release date is later than Day 91, check the detail
delinquency screen. If the current statute quarter is listed on the detail delinquency screen in
the "A" status, write "Statute" to the right of the account number and request
the file.
For accounts on which files should be requested, access the tax folder accounting and tracing system
to determine where each file is currently located.
- If the file is in the Records Management Center (RMC), key a request via the folder accounting
and tracing system and the file will be delivered the next day. When keying a request for the file,
request it under your employee number. When the files are received the next day, key a folder transfer
to the lead assessment examiner. Deliver all the files requested along with the completed Day 84
list.
- If the file is out to an accounts examiner in Civil Actions Unit, make a notation of the charge-out
information to the right of the account number and cross the account off the list and do not key
a request for the file.
- If the file is out to 4994 or 4995 or anyone outside of Civil Actions Unit, print the folder
accounting and tracing system inquiry screen and give it to the lead examiner along with the folders
and the Day 84 list. Do not key a request for the file.
When entering a Folder Request and the request screen shows "Empty Folder", enter the
request as keyed and the folder will be forwarded the next day if one is available. If the folder
is not available, you will receive a request sheet the next day showing NF for no folder. In these
cases, a memo should be sent to RMC requesting that a folder be made and forwarded to 4995.
