6.3      Electronic (E-mail) Correspondence

Electronic mail to an external customer should always be professional, using proper grammar in the first person, correct punctuation and spelling and upper and lower case lettering.

Security requires that names combined with Social Security Numbers NOT be sent by e-mail outside the agency secured firewall unless the information is encrypted.
