6.13     Requests for Walk-In Assistance

On occasion an accounts examiner will be required to assist an employer who has come to our office for assistance. The following is the procedure.

6.13.1     Selecting Examiner to Assist an Employer

The security desk in the lobby will call the queue line to request assistance. If the queue line is busy then the security desk will call the administrative assistant’s telephone number. The administrative assistant will have an accounts examiner go to the lobby to assist the employer.

6.13.2     Assisting the Employer

When meeting with an employer it is important to ask about the purpose of their visit. If all that the employer needs is a new employer packet, then the accounts examiner can provide the information when the accounts examiner meets the employer in the main lobby. If more assistance is requested then the accounts examiner should register the employer with the lobby security desk and then bring the employer to our office and meet with them in the Status Section meeting room.

Once you are in the meeting room, assist the employer in an efficient manner. Obtain all the details first and ask questions to determine what forms the employer will need. If the employer requests information on an existing account, make sure the individual is authorized to receive the information. If the individual is not authorized explain that the information is confidential and that you will be happy to provide that information when an authorized representative requests it.

Once you know what the employer's status and needs are, proceed in providing the employer with the necessary forms and instructions. If the employer is not liable yet, instruct the employer to submit the forms at a later date. Also provide the employer with the Internet address, www.texasworkforce.org, of the Texas Workforce Commission and explain that the employer may be able to register online at the appropriate time. If forms or reports are due, advise the employer to submit them to you for processing. If the employer brings adequate records, assist them in completing the required forms.

6.13.3     Receiving Forms from a Walk-in Employer

Make copies for the employer of all forms completed and remittances left with our office for processing. This will acknowledge receipt. Any documentation with money and/or employers quarterly reports received should be immediately hand delivered to the Controller Department , Room 0154, for processing. Status forms submitted without money or Employers Quarterly Reports will be processed in our office by the accounts examiner providing assistance. (See Chapter 12 - " Document without Document Locator Number")

6.13.4     Referring the Employer to Other Sections

Sometimes the employer needs to talk to other Sections for additional information. Once all status questions have been addressed, contact the other section's secretary and have them send an accounts examiner to meet with the employer. The other accounts examiner can visit with the employer in our meeting room or decide to have the employer go with them to their office.

6.13.5     Ending the Visit

Provide the employer with your name and telephone number for future reference. Ask the employer if all of their questions have been answered. If there is nothing more to do for the employer, thank the employer for coming in and escort them to the Security desk in the lobby.
