Employers receive a wide variety of correspondence from TWC. On occasion, some of this mail is returned
to us undelivered. The following are guidelines for working such returned mail.
Returned mail will be assigned by series. Examples: C-198 packets with an out-of-state address and status
generated correspondence.
Check to see if the address has changed on
the EMF. If it has, mail the correspondence to
the current address.
If not:
Check to see if the address has changed on
the EMF. If it has, mail the correspondence to
the current address.
If not:
- Check the returned envelope for a forwarding
address. If one is provided by the post office,
call the employer to verify it. Correct the address
using the SNC screen and place comments of whom
you talked to on FTC. Mail the correspondence
to the new address.
- If no forwarding address is provided, call the employer and try to obtain a good
address, document FTC, change the address,
and mail correspondence.
- If no contact with the employer can be made, search the Internet using a search engine and
try to locate the employer and his address.
- If unable to locate an address, send copies of returned envelope and correspondence to Doc
Log & Destroy and document FTC.
Note: Only re-mail correspondence if it is still necessary e.g. do not re-mail a Employer’s
Quarterly Report if one has been submitted already. Ask yourself - Does the employer still need
this correspondence?
