| [ 10.2.1 - Assigning Pending Account Numbers ] |
Pending account numbers can be assigned in the Status Section. Care should be exercised when assigning Pending account numbers to avoid duplicate accounts for the same Employer.
Before assigning a Pending account number,
conduct a thorough search of the EMF using the
Employer's name, address, federal identification
number, social security number and telephone
number.
If an existing account number is located, that is not an "Error Account", do not assign a Pending account number unless a special situation exists. All special situations should be approved by the Section Manager or Assistant Section Manager.
If an account number does not exist, key the desired styling of the Pending account onto the EMF Inquiry/Search screen. Do not key more than 35 characters per line (including spaces) when styling an account.
| Key | NAME (Employer's Name) |
| ADDR | |
| CITY | |
| STATE | |
| ZIP |
It is not possible to add the DBA, telephone
number, federal identification number, or Lines
2 and 5 at this point.
Press <Enter>
If an existing account displays and you still
wish to assign a Pending account number, repeat
step 1 but this time key an incorrect letter in
the Employer's name.
If the message "NO SATISFACTORY MATCHES" displays,
press <PF6>. The Employer Setup screen will
display without a Pending account number. Make certain "P" displays on right hand corner of screen.
If "N" displays a non liable account number will be assigned.
Make changes to the styling as appropriate.
Add the PHONE & FEIN if known.

Press <PF6>
The Code-1 address validation system will check
the address you entered. At this point the address
will either pass or fail Code-1 edits.
If the address passes edit, the system will
return a message, ADDRESS STANDARDIZED AND VALIDATED.
Code-1 may change the address you originally
keyed. Be certain to check the changes for accuracy.
If the address fails edit, Code-1 will return an error message. Make corrections to the address until
it passes the edit. If you are not able to pass the edit you can override it. For instance, a street
name that has not been added to the Code 1 table will give you an error message. When you receive the
error message key "Y" to override. To key a foreign address see below. See Chapter
2 - "Styling Accounts"
for
additional information on Code 1.
Foreign Address:
INTERNAL ROUTING: Street Address
DELIVERY POINT: City
FOREIGN CITY: Country
Press
<PF6> once the address passes edit.
The system will return a Pending account number.
Write down the account number. The Pending account number
will be visible during this step only.
Press <PF6> to finalize the Pending account
number. The account number will disappear. If
you forgot to write down the account number you
can perform an alpha search, using the name, FEIN, address, or phone number to locate it.
Although the Pending account number is visible
on the EMF, no changes can be made to the account
using the STA or SNC screens until after the
next tax run. FTC comments can be entered same day pending number is assigned.
